The Role:

We are looking for a new Training Officer to join our team to manage and support service delivery in our education and training services division – Greenville Academy. You can read more about Greenville Academy here .This role is most suited to a professional with a strong administrative background. The ideal candidate will have a strong customer cantered ethos, a focus on detail and ensuring procedures are adhered to, an aptitude for using technology and enjoy working in a team environment.

Essential Experience and Skills

  • Relevant work experience and expertise
  • Experience in general office administration.
  • Competent user of MS Office including Teams and other online communication tools
  • A high level of attention to detail with a conscientious and diligent approach to work
  • A highly self-motivated and enthusiastic individual who exhibits an outgoing, confident and mature communication style.
  • Excellent communication, literacy, personal and interpersonal skill.

  • Knowledge and experience of all aspects of administration and associated technologies and tools

Key Responsibilities:

The successful candidate will:

1.Manage the day-to-day operations of Greenville Academy for Open and Bespoke In-house Courses which can include:

  • Monitor communication channels and responding to emails/queries including relevant follow-ups
  • Ensuring open courses are advertised and promoted through appropriate channels
  • Setting up courses including allocating Trainers and ensuring all relevant documentation, technology and materials are in place for delivery
  • Managing open course bookings, communications with participants and trainers
  • Working with Trainers to ensure course materials are developed, updated and inline with corporate branding
  • Communicating with participants throughout the programme from registration, through to issuing programme material and follow-up post training
  • Schedule and attending meetings with clients to discuss education/training and mentoring needs
  • Devise proposals/submissions in consultation with clients and/or in response to Quotations or Tenders for review and issuing, responding to any follow-up queries
  • Utilise and promote Greenville Academy’s online learning platform internally and externally for online delivery including setting up participants and courses, dealing with related queries
  • Collect and analyse feedback from participants and Trainers
  • Issue certificates of completion
  • Other relevant tasks and duties as needed

2. Maintaining Records, Invoicing and Financial Monitoring and Reporting

  • Keep accurate and up-to-date training records
  • Effectively monitor and track participation for the purposes of invoicing including following up with clients to ensure it has obtained all relevant information for invoicing
  • Invoice clients in a timely manner, ensuring accuracy and following up where necessary to secure payment
  • Utilise internal financial systems to predict, record, analyse and report on the financial performance of the division.
  • Deal with any data access requests
  • Other relevant tasks and duties as needed
  • Work proactively with the Accounts Team

3. Act as Course Co-ordinator for all programmes with particular focus on our accredited training, to include the following responsibilities:

  • Devise and agree in consultation the delivery and assessment schedules
  • Schedule online sessions and remain on standby during sessions for technical support
  • Deal with learner or client queries
  • Upload assessments, course materials and resources in consultation with Greenville Trainers, Lecturers and Assessors as per the schedule
  • Manage assessment schedule and issue feedback and results to students as per schedule
  • Manage applications for extensions and accommodations as per partner institution rules
  • Record and input marks into data collection systems internally and through the partner institution
  • Finalise all marks at course completion in consultation with Lecturers and Assessors
  • Conduct periodic reviews of the programmes in conjunction with relevant partners and engage with all relevant stakeholders
  • Attend relevant meetings with key stakeholders
  • Other relevant tasks and duties as needed

4. Promotional Activities

  • Develop Greenville Academy and course promotional material including course delivery schedules/brochures in consultation with the training team and external experts
  • Ensure all course information is accurate and up to date
  • Ensure all courses are advertised and promoted through appropriate channels
  • Other relevant tasks and duties as needed
